Visa Requirements and Application Process
Who Needs a Visa?
Visit the Government of Canada website to check the most current visa requirements and processing times. Click here to find out if you need a visa to travel to Canada.
- Visa-exempt travels require an Electronic Travel Authorization (eTA).
- Others must apply for a Temporary Resident Visa (Visitor Visa).

4 Important Steps for Your Visa APPLIcation
1
Register Early and Request a Letter of Invitation.
Register for the Congress as early as possible. During registration, request a letter of Invitation – this letter will include your Special Event Code and a confirmation of your payment. Both are required as part of your visa application.
2
Start Your Visa Application Immediately.
Do not delay your visa application. When applying, be sure to include the Special Event Code from your initiation letter. This helps link your application to the event.
3
Complete Your Biometrics Appointment Quickly.
Your visa application will not be processed until your biometrics (fingerprints and a photo) are provided. Book this appointment as soon as you receive instructions from IRCC.
4
Declare Any Criminal History Honestly.
Even if an action isn’t considered a crime in Canada, it may still be classified as criminal in your home country. Failing to declare a criminal record (e.g., driving under the influence) can result in automatic rejection of your visa application. Always answer truthfully.
How to Apply
Applicants can apply through one of two IRCC portals. In both cases, ensure your application is correctly tagged with the Special Event Code:
Enter the Special Event Code in the “Special Event Information” section.
Select “Other” under “Purpose of Trip” and enter the Special Event Code in the text box.
Note: While the Special Event Code links your application to the Congress, it does not guarantee visa approval. Each application is reviewed individually, and you must meet all visa eligibility requirements.
- Processing times for visa applications vary depending on the visa office and the time of the year. Participants are encouraged to check processing times to find out how long it takes us to process most applications. Each application is different and takes a different amount of time to process. If you’ve already applied, learn how to check your application status.
- Participants are encouraged to begin their application process today to ensure they receive the visa in time for the start of the event.
